Keep the studio running even when reception is empty.
What it was like before
There are three types of class, each with its own package. Knowing who still had classes left, who had to pay and who was missing a signed consent meant scrolling through chats and scraps of paper.
What we did
- Each member has their own page and gets in through the link they receive by email.
- Separate packages for each class, available to buy online.
- Booking several classes in one go, choosing the instructor.
- Health questionnaires and waivers filled in on the phone.
- Takings, schedules and instructor pay together with the website, in English and Chinese.
Members do it themselves: they book, pay, sign. Only what really matters is left at the desk.

What they asked us
Give clear rules to a shop that has been trading for forty years.
What it was like before
The margin changed from one item to the next with no rule. Private customers and businesses were handled differently. When a supplier raised prices, the sums had to be redone by hand.
What we did
- When an invoice comes in, the program compares costs and suggests the new selling price; the owner decides.
- Delivery notes, quotes, counter sales and invoices are done by scanning barcodes.
- Documents sent automatically, by email or WhatsApp.
- A screen with the day’s tasks and deadlines, and reminders to whoever still has to pay.
- A single archive for private customers and businesses.
- Questions to the program straight from the phone, with artificial intelligence: a summary, a label print run.
- Label printer, cash register and card terminal connected.
A quote or an invoice takes a few seconds, and artificial intelligence handles some things.

What they asked us
Open the mountain house every summer, even without a permanent cook.
What it was like before
The nearest village is 40–45 km away, and staff are hard to find for the season: volunteers and seminarians take turns at the stove. Guests are all sorts, from retreats to families with children. On top of that, each house had its own website, each with a different panel.
What we did
- A recipe book with menus designed for each group of guests, diets included.
- Every morning the menu is printed with quantities and method, and whoever is cooking knows what to do.
- Rooms, arrivals and departures.
- The pantry, with supplier orders that prepare themselves.
- A single website for all the houses: each updates its pages from a simple panel, and the look stays the same.

It can replace the program you use today
You don’t have to keep the old business software alongside the new one. If you prefer, ours does it all: invoices, delivery notes, price lists, stock, customer records, reorders. In Busca La Bottega del Colore made the switch: in a day and a half we moved the shop’s 4,000 items onto the scanner, and the old program was retired.

Selling in the shop and online with two separate stock counts means correcting them by hand every evening. If the business software is linked to the online shop, there’s one stock count: the item sold at the counter disappears from the website, the one ordered online shows up in the shop straight away.
Two shops in one
- At the entrance the customer says who they are: private customers find the usual shop, businesses a dedicated price list and shop.
For businesses, no stock
- The business orders on its own; the program groups the requests and passes them to the Bottega’s suppliers.
- If the supplier delivers to the site, it receives the order as is. Otherwise it brings everything to the Bottega, and the next day it heads off to the site.
- In a day or two the materials are on site.
Each business’s page
- Delivery notes, invoices and quotes at hand, and the business prepares its own quote. Today almost everyone does it that way, and there’s more breathing room at the counter.

- A photo is enough to find the tile among about 500 catalogues and 50,000 references; it arrives in a few days for a small job, in a couple of weeks for large areas, together with the adhesive.
- For DIYers, how much paint or electrical and plumbing material to buy.

Everything goes through the program and, with no extra stock, the online shop moves hundreds of thousands of euros a year.

You open it from wherever you like: the office computer, the phone in the shop, the laptop at home. It runs on European servers, recognises you through a link that arrives by email, and you can download your data at any time. The instructions are inside, one click away. Warranty: two years on all the code we write.
